OpenAI Workspace Agents Replace Custom GPTs at SMB Scale

OpenAI replaces Custom GPTs with persistent Workspace Agents (free until May 6), Microsoft's M365 E7 + Agent 365 go GA May 1, Acronis ships shadow-AI governance for MSPs, and Colorado's AI law hits June 30 — a lot to act on before Q2 ends.

The Morning Read

1. OpenAI Replaces Custom GPTs with Persistent Workspace Agents — Clock Is Ticking *(OpenAI / VentureBeat)*

OpenAI's new "Workspace Agents" allow users on ChatGPT Business, Enterprise, Edu, and Teachers plans to design or select from pre-existing agent templates that connect to Slack, Google Drive, Microsoft 365, Salesforce, Notion, Atlassian Rovo, and other popular enterprise apps.

Unlike the old Custom GPTs,

Workspace Agents run as persistent assistants that can connect to external apps, retain information across projects, and complete multi-step workflows without repeated prompts.

OpenAI is deprecating the custom GPT standard for organizations on an as-yet-undetermined future date, requiring Business, Enterprise, Edu, and Teachers users to convert their GPTs to the new Workspace Agents format.

What it means for SMBs / MSPs:

Workspace Agents are free until May 6, 2026

— use the next 11 days to pilot one agent per department before credit-based pricing kicks in, and audit any Custom GPTs your clients have built so you're not caught flat-footed at deprecation.

2. Microsoft M365 E7 + Agent 365 Go GA May 1 — Partners Need to Move Now *(Microsoft Partner Center)*

Microsoft 365 E7 and Microsoft Agent 365 will be generally available as of May 1, 2026. Microsoft 365 E7 is positioned as the productivity suite for a "human-led, agent-operated enterprise," combining M365 E5, Microsoft 365 Copilot, the Microsoft Entra Suite, and Agent 365.

Agent 365 will be available at $15/user/month with a 20% CSP margin.

Meanwhile,

Microsoft is extending the 50% promotional offer on Microsoft Purview Suite for Business Premium through July 1, 2026 — previously set to expire March 31 — giving partners more time to drive adoption of advanced data security and compliance capabilities for SMB customers.

What it means for SMBs / MSPs: The Agent 365 GA plus the extended Purview promo create a tight but real window:

Microsoft's SMB AI Success Stack bundles Copilot for Business, Business Premium, and the Purview Suite at discounted rates through June 30, with the bundle available for $32/user, dropping Copilot from $21 to $18 and Purview from $10 to $5

— a straightforward pitch for clients on the fence.

3. Acronis Launches GenAI Protection — MSP-Native Shadow AI Governance *(GlobeNewswire / Acronis, April 22)*

Acronis launched GenAI Protection, a monitoring and security solution enabling MSPs to control generative AI usage across client environments, preventing sensitive data exposure and protecting against malicious prompt manipulation.

The tool gives service providers centralized visibility and control over GenAI usage — including shadow AI discovery to find which AI tools employees are actually using, prompt injection blocking, and sensitive data protection to prevent PII, PHI, and confidential business information from entering unsanctioned tools.

MSPs can set and enforce AI usage policies on a per-client basis, all from inside the existing Acronis Cyber Protect Cloud console — no separate point solution to manage or sell.

What it means for SMBs / MSPs:

Analyst Matthew Ball puts SMB AI adoption at over 50% regardless of IT sanction

— that ungoverned footprint is your liability exposure and your upsell opportunity at the same time.

4. Colorado AI Act Deadline Closing In — June 30 Is Real *(Wilson Sonsini / Kiteworks)*

The Colorado AI Act, currently slated to take effect June 30, 2026, will place substantial new responsibilities on AI developers and deployers, including requirements to undertake reasonable care to avoid algorithmic discrimination.

If your business develops or deploys a "high-risk AI system" influencing consequential decisions about Colorado consumers — covering employment, housing, credit, healthcare, education, and insurance — you are covered, with violations carrying penalties of up to $20,000 each, enforced by the Colorado Attorney General.

Separately,

the cyber insurance market is seeing AI-related transformation, with carriers increasingly conditioning coverage on AI-specific security controls — including "AI Security Riders" that require documented evidence of adversarial red-teaming and model-level risk assessments as prerequisites for underwriting.

What it means for SMBs / MSPs: Any client using AI in hiring, tenant screening, credit decisions, or insurance workflows needs a compliance review before June 30 — this is billable advisory work, not a nice-to-have.

5. Power Automate Gets Self-Healing Agents + Power Apps MCP Server *(Microsoft / Redmond Mag)*

The latest updates to Power Automate introduce agent-based features for authoring, optimization, and self-healing, which can be applied to desktop flows and Copilot Studio-driven actions in cloud flows.

Additionally,

with the Canvas Apps MCP Authoring Plugin, makers can now use GitHub Copilot, Claude Code, or any MCP-compatible assistant to build and modify canvas apps through natural conversation — the Canvas Authoring MCP Server runs locally alongside your development environment and connects to a live Power Apps Studio coauthoring session.

What it means for SMBs / MSPs: If you've been building Power Automate flows manually, self-healing agents reduce ongoing maintenance burden — this is the first concrete example of agents maintaining themselves rather than just executing tasks.

️ Tool or Feature to Try This Week

OpenAI Workspace Agents (ChatGPT Business/Enterprise)

Workspace Agents are Codex-powered agents that automate complex workflows, run in the cloud, and help teams scale work across tools securely.

Built-in templates include a weekly metrics reporting agent, a software-request triage agent, and a product feedback routing agent.

  • Who it's for: AI champions or ops leads at any SMB already on ChatGPT Business ($20/user/month)
  • How long a first test takes: 30–45 minutes to configure and trigger a first scheduled run
  • One concrete first step:

Click "Agents" in the ChatGPT sidebar and describe a workflow your team does often — ChatGPT will guide you step by step to turn it into an agent.

Start with a Friday metrics digest that auto-pulls from your CRM or project tool.

Put It to Work

Make a list of the AI tools your team uses, what decisions they touch and whose data they use. Colorado's AI Act deadline of June 30 is real, and it matters most if you work in healthcare, HR, insurance or lending. A simple inventory is the first step regulators expect. If you built Custom GPTs on a ChatGPT business plan, add those to the list, since OpenAI is replacing them with Workspace Agents.

*For MSPs:* An AI inventory with a one-page risk summary is a repeatable deliverable, and Acronis GenAI Protection can serve as the monitoring layer.

One Thing to Avoid

Don't treat the Workspace Agents "free preview" as indefinite runway.

OpenAI says Workspace Agents will be free until May 6, 2026 — after which credit-based pricing begins — and more capabilities including new triggers, better dashboards, and more tool integrations are still on the way.

Piloting now is smart; assuming the feature set is stable and pricing will stay zero is not. Set a hard deadline to evaluate before May 6, or you'll be mid-test when the bill arrives.

Trend to Watch

"Shadow AI governance" is becoming its own product category. Acronis is first to market with an MSP-native tool explicitly built for this, but the category signals something bigger:

as organizations rapidly adopt generative AI tools, businesses face growing risks related to data leakage, shadow AI usage, and malicious prompt manipulation — and many consumer-grade AI tools lack enterprise visibility, while enterprise solutions aren't designed to be delivered through MSPs.

Expect Datto, Kaseya, and ConnectWise to announce similar capabilities within the next two quarters. The MSPs who build AI governance into their standard service tier now — before it's commoditized — will own the trusted-advisor position when clients start asking "who's watching what my employees feed into ChatGPT?" That conversation is no longer hypothetical.
