Find files and email in Microsoft 365 from Claude

The job: Find the right version of a document without digging through folders

If your business runs on Microsoft 365, Claude can connect to it and search your Outlook email and calendar, OneDrive, SharePoint and Teams. The connector is on every Claude plan, but your Microsoft 365 global administrator (often whoever handles your IT) has to approve it once before anyone can connect. On a Team plan, the Claude owner turns it on too.

How

  1. Ask whoever manages your Microsoft 365 to approve the Claude connector. Anthropic's help page has the steps for them.
  2. In Claude, go to Customize, then Connectors, find Microsoft 365, click Connect and sign in.
  3. Start with questions that only find and read, like the prompt below.

The prompt to copy

Find the most recent version of our [service agreement / new-hire packet / price list] in SharePoint or OneDrive. Tell me where it is, link to it, and list any other copies with similar names. Don't change or send anything.

What a good answer looks like

A link to the right file and a short list of look-alike copies, with nothing changed.

The mistake to avoid

Asking it to send or change things before you've seen how it searches. Unless your administrator turns on the write tools, it can only read, and that's a good place to start.
