AI in 60 Minutes — Your First Real Workflow · Lesson 5 of 6
Lesson 5 — Don't make these mistakes
10 minutes. Final lesson. Read it once, then keep going.
---
Here are the five mistakes I watch SMB owners make in their first month with AI. None of them are fatal. All of them are common.
AI doesn't know your prices. Your customers. Your contract terms. Your inventory. Your team. It only knows what you tell it, plus what the public internet knew when it was last trained.
So when you type *"draft a quote for the Smith job"* — the AI doesn't know who Smith is. It'll make something up that sounds plausible. That's not lying; that's the tool being asked to do something it can't.
The fix: Give it the context. *"Draft a quote for the Smith job. Here's the request: [paste form]. Here are our standard rates: [paste]. Here's the project scope: [paste]."* Now it has something to work with.
AI is confidently wrong sometimes. It'll invent a fact, get a price wrong, attribute something to the wrong person, or write a sentence that sounds professional but means nothing.
The fix: Every customer-facing send gets a human eyeball. AI is the first draft. You are the editor. Don't outsource your last quality check.
Owners get excited and try to put AI into seven workflows in the first week. Six of them stick for two days and then die. The remaining one becomes the foundation.
The fix: Pick one workflow. Run it for two weeks. *Then* pick the next one. Stack slowly.
A lot of people open ChatGPT, have a conversation, get a useful answer, close the tab, and lose the prompt forever. Next week they recreate it from memory. The whole gain disappears.
The fix: Save your prompts. Saved prompts are reusable tools. Throwaway chat sessions are not.
The free tiers of Claude, ChatGPT, and Copilot are genuinely usable for the workflows in this course. Don't drop $20-30/month on day one. Use the free tier for two weeks. If you hit limits, *then* upgrade — and you'll know exactly what you're paying for.
The exception: if your business already runs on Microsoft 365 and you have 5+ people, the M365 Copilot license is probably worth it because it lives inside Outlook and Word where your team already works. Different equation.
Sixty minutes ago you hadn't put AI to work. Now:
- You've signed in to a tool.
- You've written a prompt that pays off.
- You've built a workflow with a specific trigger and output.
- You know the five mistakes to avoid.
That's more than 90% of SMB owners have done. Don't downplay it.
If you want to design more workflows: Workflow Design That Sticks (next course in the path). The intermediate course. Walks you through picking the next ten workflows, designing prompts that survive real use, and rolling out to your team.
If you want the deeper foundation: AI Foundations for SMB — six hours, free. The "how does this actually work and which tool when" deep dive.
If you want to build agents (AI that does the work, not just drafts it): Build Your First AI Agent — the advanced course. Practitioner tier.
Or — and this is also a valid answer — just keep using the workflow you built today. Get good at one thing before stacking the next.
The work walking in your door deserves better than your inbox. You just made it better.
→ Course complete. One optional bonus lesson follows: twenty minutes to teach the AI to sound like your business, so every draft starts closer to done.
